The nerivo system is a fully featured Communications, Record Storage and Accounting System which has been specifically designed to help Sporting
and Community Groups manage their Member base from "the Cloud".
When you first sign up to the nerivo system you will be automatically enrolled in a FEE FREE
Membership program ("Trial Mode"). You will have access to most system features, but you will not be able to send SMS Messages (the SMS System IS
still enabled so you can try it out, but any messages that you create will not be sent). When you reach certain limits you will be asked to convert
your Trial Membership to a Full Membership by depositing funds into your Account. This will give you unrestricted access to the system, including the ability to
send SMS Messages.
The system is intuitive, easy to use and provides the following functionality:
EMAIL
You are able to Email individual User/s, Member/s or Group/s. Full Email functionality is provided including the ability to attach documents to Emails,
create custom Signatures and structure fully formatted Email text (including Font selection, size, colour, tables, lists and indenting).
Additionally, you have the ability to preview an Email prior to sending. Sent Emails are logged and can be viewed at any time via the Email Search facility.
Emails sent to Members also include an UNSUBSCRIBE link to comply with best Email Marketing practices.
SMS
You are able to SMS individual User/s, Member/s or Group/s. There is also a facility to add a Signature to an SMS Message so the recipient can easily see
who sent them the Message.
You also have the ability to see the total cost of an SMS prior to sending.
Sent SMS Messages are logged and can be viewed at any time via the SMS Search facility.
DOCUMENT STORAGE
You can upload your Documents to the System so they are available to any authorised User from anywhere. Document types that you can upload are:
.avi .bmp .doc ,docx .gif .jpg .jpeg .mov .mpeg .mpg .mp2 .mp3 .mp4 .pdf .png .ppt .rtf .tif .txt .xls .xlsx and .zip files.
Maximum Document size is 10MB. Uploaded Documents can then be attached to Emails (if you assign this permission attribute to the
uploaded Document).
INVOICING AND PAYMENTS
You can send Invoices (via Email) to Members and Groups as well as "ad-hoc" recipients. Tax Management is also handled. You can raise payments against an Invoice
as well as Credit and Debit Adjustment Notes.
BUDGETTING
You can set a Budget for each of your Users so they do not spend more than they are authorised to spend over a Billing month.
REPORTING
Full Reporting facilities are also provided.

MULTI PLATFORM ACCESS
You can run the System from most Internet connected Devices. This includes PC's, Iphones, Ipads, Tablets and Android Devices. There is no special software
to install as the system runs from within any modern Internet Browser (eg: Chrome, Opera, Safari, Firefox and IE).
SECURITY
The System is accessed over a Secure https link, so all data is encrypted while travelling "in the Cloud".
Additionally, any links that are generated to Documents or Reports stored on the nerivo System have fully encrypted file names,
which makes it extremely difficult for anyone to "hack in" and access your data. For example, a link to a Document might appear as:

This also applies to attachment links that are embedded in Emails that you send out.
Finally, it is not possible to access any System functionality without being logged on.
What is a User?
Users are classified into 2 main Categories - Administration Users and Standard Users.
Administration (Admin) Users can do anything in the system while Standard Users have limited functionality
(generally, they are only allowed to SMS and Email Groups that they have been allowed to contact).
What is a Member?
Members are people that belong to your Organisation.
What is a Group?
Groups are collections of Members. Every none Admin User that is setup in the system can be assigned
access rights to a Group (both SMS and Email).
To use the system effectively, it is critical that you understand how to setup your Users, Members and Groups.
To better explain, let's look at an example. Suppose you are a Swimming Club with the following structure:
* Club President and a Secretary.
* A Head Coach
* A Senior Squad Coach, A Development Coach and a Junior Coach.
* The Swimmers that belong to the various Squads and their Parents.
You could then setup the President and Secretary as Admin Users and the Coaches as Standard Users.
Swimmers and Parents would then be setup as Members. You could then setup 5 separate Groups:
* Senior Squad (and make all Senior Squad Swimmers members of this Group).
* Development Squad (and make all Development Squad Swimmers members of this Group).
* Junior Squad (and make all Junior Squad Swimmers members of this Group).
* All Squads (and make all Squad Swimmers members of this Group).
* Parents (and make all Parents members of this Group).
You could then allow the Head Coach access to All Groups while the Senior Squad Coach would only have access to the Senior Squad,
the Development Squad Coach would only have access to the Development Squad and the Junior Squad Coach would only have access to
the Junior Squad.
The key to sucessfully using the system is to fully understand the different types of Users, Members and Groups that you can create
and to plan your structure before you start entering your data. The system is very flexible, but (like all IT systems)
it is only as good as the data it has available to it. If the data is structured correctly, then the system will behave to its' optimum.
All Screens have a HELP button to help you understand what to do on the Screen you are currently on.
This is a Toggle facility. Press the button to see HELP, press it again to hide HELP. An example
of a Screen with HELP hidden and HELP displayed is displayed below.
When you first sign up to the System, you will receive an email with your Organisation Code, Login Code and Password
(entered by you during the setup process) together with a link to the nerivo login page. The system will
remember your Organisation Code and Login Code for the next time you logon (if you have Cookies enabled in your Browser), but you
will always need to enter your Password to access the system. If you have forgotten your Password, then you can request for
it to be SMS'd to you (if you are NOT in Trial Mode AND you have entered a valid Organisation Code and Login Code). If you are
in Trial Mode, the Password will be displayed on the Screen instead.
When you have successfully logged on, you will be presented with a Welcome Screen and a Menu.
The contents of the Welcome Screen will vary depending on the profile of the person who just logged on (ie: an Admin User, a Standard User or a Member).
The screen below will be presented to Admin Users on Logon. Admin Users are always provided with details of the Plan the Organisation is currently on
together with current Usage information.
If you are an Admin user, you will also see a Setup Link ("CLICK HERE TO REVIEW SETUP STEPS"). This link will remain until you
exit Trial Mode. Clicking on the Link will present you with a System Setup Guide to help you setup the System correctly.
You can email different subsets of your Member base. For example, if you select Send Email to Group/s
you will be presented with the following screen

You can Upload Documents, Search Documents and print Reports relating to Documents from within the nerivo System.
When you upload a Document, you can specify a Name for the document (this is what appears in the Email Attachments box) and
whether or not it is a Private document (Private Documents are NOT displayed in the Email Attachments box) as well as
a Category the Document belongs (to make it easier to Search a Document). Valid Document Types that you can upload are also displayed.
Any Document that you upload is available for download via the Document Search facility.
You can design your own Invoice using the Invoice Template Screen.
If this is the first time you have created an Invoice then the Invoice Header, Invoice Body, Invoice Payment Method/s and Invoice Footer sections
are automatically populated for you. You may need to modify these fields to suit your own particular requirements. You can then Preview the Invoice
to see what it will look like before it is delivered to each of your intended recipients. Any changes you make will be saved in the system, so you should
only have to do this ONCE (although the Invoice Body is likely to change every time you create a new Invoice).
Press the Preview Invoice button to see what your INvoice will look like before you send it to your recipients.
Now compose the Email to accompany the Invoice and select your recipients.
Press Send Email with Invoice when done and the selected recipients will recieve the Email with a link
to the Invoice. A Run Report is also generated showing you who was billed and the amount invoiced as well
as a total for the Run. You can use this to input the Total into your Accounting System and as a register of who
needs to pay (you could simply cross them off the list when they have paid but there is also a facility to print out
a list of outstanding invoice at any time).
Recording a Payment or raising an Adjustment against an Invoice is easy. Just select Record Payments/Adjustments and a list of
Invoice with balances outstanding will be presented. Click on the Invoice number and select the appropriate transaction type
and enter the payment/adjustment amount along with a reason (if you are raising an Adjustment).
